About the role

As an experienced Clinical Trials Assistant you will help prepare and document clinical research projects across different therapeutic areas, focusing on data management, study documents and correspondence with internal departments, research sites and the client. The position is full-time, with a mix of office work in Vienna and home office.

Key responsibilities

  • Update and maintain clinical documents and systems such as the Trial Master File (TMF) that track site compliance and performance within project timelines.

  • Work with CRAs and RSU on clinical trial supplies and their tracking information.
  • Coordinate tracking and management of Case Report Forms (CRFs), queries and clinical data flow.
  • Act as central contact for project communications and documentation.
  • Mentor less experienced Clinical Trial Coordinators and help train and onboard new colleagues; may act as subject matter expert, lead study teams, take part in quality or process improvement initiatives and occasionally accompany CRAs on site visits after training.

Required profile

  • Bachelor's degree preferably in life sciences, or high school diploma with an apprenticeship in life sciences, medicine, pharmacy or office management.
  • 2-4 years of administrative support experience in clinical research, e.g. as Clinical Trials Assistant, Project Assistant, in-house CRA or Study Start-Up Assistant.
  • Knowledge of GCP and ICH guidelines.
  • Fluent German (at least C1) and good command of English.
  • Ability to work independently, prioritize tasks and build effective working relationships.
  • Flexibility to visit the client's office regularly within the Vienna region.

Required skills

  • Working knowledge of Microsoft Word, Excel and PowerPoint.
  • Organizational and planning skills.

What we offer

  • Monthly gross salary starting at 3,000 EUR, with higher pay possible depending on skills and experience.
  • Full-time position with a mix of office and home office.
